Refund & Returns Policy

Refund & Returns Policy

.

At Test Equipment Bay, we want customers to understand the terms that apply when purchasing new and pre-owned electronic test and measurement equipment. This policy explains return authorization, return shipping, restocking fees, refunds, warranty coverage, and reporting damaged or defective equipment.

1. Return Authorization

All returns must be authorized in advance. Before returning any equipment, please call +1 (760) 473-1732 to request a Return Merchandise Authorization (RMA) number.

Please do not ship equipment back without receiving return instructions and an RMA number.

When returning an item:

  • Clearly mark the RMA number on the shipping label or accompanying return documentation.

  • Include your order details and a description of the reason for the return.

  • Package the equipment securely, including accessories and documentation where applicable.

  • Use an appropriate shipping service and arrange insurance suitable for the equipment's value.

Returns that arrive without prior authorization may be delayed or refused, subject to applicable law.

2. Returns of Non-Defective Equipment

Non-defective used equipment may be eligible for return within 7 business days of delivery, subject to prior authorization and the terms of this policy.

If you ordered the wrong equipment or no longer require the item, please contact us within the applicable return period to request authorization.

Approved returns of non-defective equipment are subject to the following conditions:

  • The equipment must be returned in the condition required by the approved return authorization.

  • All applicable accessories and accompanying items must be included.

  • Customers are responsible for return shipping, insurance, packaging, and related carrier charges.

  • Original shipping charges are non-refundable, except where required by applicable law.

  • A restocking fee of up to 20% may be applied at the discretion of Test Equipment Bay, depending on the circumstances of the return.

Some special-order products may be non-returnable. Any such restriction will be communicated where applicable before purchase or otherwise in accordance with applicable law.

Please obtain written confirmation of return eligibility and any applicable restocking fee before shipping an item back.

3. Defective Equipment and Defect Notification

If you believe that equipment is defective, you must notify Test Equipment Bay within 3 calendar days of delivery.

Please contact us by phone or email and provide:

  • Your order number or invoice details

  • The product model and serial number, if available

  • A description of the fault or malfunction

  • Photographs, test results, or other supporting information where relevant

Do not return equipment until an RMA number and return instructions have been provided.

We may request additional information or an inspection to determine whether the reported problem is a defect, shipping damage, misuse, mishandling, electrical overload, or another cause.

If Test Equipment Bay determines that the equipment is faulty through no fault of the purchaser, we may, at our discretion, reimburse reasonable return shipping costs. Customers must pay return shipping initially; reimbursement is not automatic and requires our approval.

If the problem is determined to have resulted from customer damage, misuse, mishandling, electrical overload, or another cause not covered by the warranty, the customer may be responsible for return shipping and any applicable inspection or repair charges.

4. Thirty-Day Limited Warranty

Unless otherwise stated in writing, equipment sold by Test Equipment Bay is covered by a 30-day limited warranty for defects, beginning on the delivery date.

This warranty applies to defects in the equipment and does not automatically cover damage or malfunction resulting from:

  • Mishandling, misuse, or improper operation

  • Electrical overload, incorrect connections, or unsuitable operating conditions

  • Accidental or physical damage caused after delivery

  • Unauthorized repairs, alterations, or modifications

  • Other causes unrelated to a covered defect

Customers must notify Test Equipment Bay of a suspected defect within the applicable 3-calendar-day notification period and obtain authorization before returning equipment for evaluation.

Following evaluation of an approved warranty claim, Test Equipment Bay may, at its discretion, repair the equipment, replace it, or refund the price paid for the unit.

A repair, replacement, or refund is not guaranteed before the equipment and the reported issue have been evaluated. If a reported issue is found not to be covered by the warranty, repair or other service charges may apply with the customer's agreement.

Nothing in this policy limits rights or remedies that cannot lawfully be excluded.

5. Return Shipping, Insurance, and Fees

Customers are responsible for arranging and paying for return shipping on approved returns, including appropriate packaging, carrier charges, and insurance.

Because test equipment can be expensive, heavy, fragile, or difficult to replace, customers should use a suitable shipping service and insure the return shipment appropriately.

Test Equipment Bay does not routinely provide prepaid return shipping labels. Any reimbursement of return shipping costs must be approved by Test Equipment Bay.

A restocking fee of up to 20% may be charged at our discretion for eligible returns, including equipment ordered incorrectly. Any applicable fee will be communicated as part of the return authorization process, subject to applicable law.

6. Refunds and Refund Processing

Refunds are not automatic upon receipt of returned equipment. Returned items may need to be inspected and evaluated before a refund is approved.

Where a refund is approved, Test Equipment Bay will generally initiate processing within 3 business days of approval. The time it takes for the refund to appear in the customer's account depends on the original payment method, payment provider, and financial institution.

Original shipping charges and customer-paid return shipping costs are non-refundable unless Test Equipment Bay expressly approves reimbursement or applicable law requires otherwise.

Any applicable restocking fee will be communicated during the authorization process.

7. Shipping Damage, Loss, or Non-Delivery

Please inspect shipments promptly after delivery.

If equipment or its packaging arrives damaged, or if an item appears to be missing, notify the carrier promptly and contact Test Equipment Bay in writing within 3 calendar days of delivery.

Please retain the packaging and provide photographs, order details, and any carrier claim reference requested during the investigation.

For shipments that have not arrived within the expected delivery timeframe, contact us so that we can help determine the appropriate next steps.

Customers must comply with applicable carrier reporting and claim procedures. This policy does not remove any rights or remedies available under applicable law.

8. Order Cancellations

Orders may be eligible for cancellation or amendment before shipment has been processed. Please contact your sales representative as soon as possible if you need to cancel or change an order.

Once shipment has been processed or the equipment has been dispatched, cancellation may no longer be possible. If a return is authorized after shipment, the return conditions, customer-paid shipping costs, and any applicable restocking fee in this policy will apply.

Special-order products may be subject to additional cancellation or return restrictions where disclosed and permitted by applicable law.
